Fees Invoicing

Fees .

Fees Invoicing, which may on a "per class" or a "per term" basis,  starts with a list of families, and for each family calculates the fees for the term.  The calculated rate for the term takes into account any weeks in which there are no classes, e.g. if you have a half term, or days out.

Two forms of discounting are provided, either by the number of classes attended by all the students in a family (the Family discount scheme), or by the number of classes attended by each student (the Student Discount scheme).  You may override these schemes for a particular family by giving a Family Discount, or for a particular student by giving a Student Discount, or by setting a special rate for that student in any class.  Discount calculations are displayed in detail so you can check them before printing the invoice.

You can set both a period and a rate for trial classes, and by setting the trail start date the package will create an invoice only for the trial, and if the student then joins the class then at the full rate you have set for the remainder of the term.

Invoices are only charged from the date at which the student started the class.

You do not have to charge for the whole term at once.  Select Partial Invoicing and set the dates between which you want the invoice to run.  In this way you can charge for a month, a half term or whatever period you wish.

You can select to print an invoice for one family (useful if they started part way through the term, or you want to reprint after changing the discount for the family),  all invoices, or a selected batch of invoices.  Invoices are automatically added to the accounts as they are printed.

The invoice can carry a small note from you, but in addition you can include a mail merged cover letter, so you can include details such as term dates, show information etc. togther with the invoice.

Each invoice includes a detachment which the parents can return to you indicating what they have paid (just like any bill you may receive).  The detachment may contain just the identifying information and the amount, or a full list of what has been invoiced.
